Submission Rules for the Journal of JAEE

1. Objectives of Journal of Japan Association for Earthquake Engineering

The Association publishes the Journals of Japanese issues, special issues, and English issues in order to publish and share the latest research achievement in a wide range of fields such as engineering, science, sociology, humane studies, etc. that contribute to the development of earthquake engineering and earthquake disaster reduction.

(1) Japanese Issues

These editions are placed as regular numbers. Submissions are allowed any time through the website of the Association. The manuscripts are reviewed based on the prescribed publication criteria, and those accepted for publication will be published. The Association publishes Japanese issues about four times a year.

(2) Special Issues

The Association publishes the Journal of special issues based on the proposal of the Association members. The special issues are related to specific themes and the Chief Editor of the Special Issue is appointed each time. The submission deadline of manuscripts is set up for each issue and the manuscripts are reviewed based on the prescribed publication criteria, and those accepted for publication will be published.

(3) English Issues

In addition to original manuscripts in English, papers translated into English under the responsibility of the authors of the papers published in the above-mentioned Japanese and special issues are also published with the remark of the translation. The authors can resubmit the translated manuscript to a English issue by two years after the publication of the original Japanese paper. The manuscript written in poor English would be returned to the authors.

2. Content

The content of the Journal shall be classified into the following four categories: Technical Papers, Technical Reports, Technical Notes, and Discussions. The special issues may include Overviews/Invited Papers as an additional category.

(1) Technical Papers

Summary of theory or proof that are novel, original, useful, reliable, or expansive.

(2) Technical Reports

Investigation reports on disaster/reconstruction or practice reports on design/construction/field measurement that are novel, useful, or reliable.

(3) Technical Notes

Budding tentative assumptions that can be expected to evolve significantly. Useful data, tables, charts, etc. that supplement technical papers or technical reports published in the past. Technical Notes also include reconnaissance reports that require urgency such as survey results of unexpected disasters.

(4) Discussions

Discussions regarding technical papers, technical reports and technical notes that were already published.

(5) Overviews/Invited Papers (Only for special issues)

Overviews shall be comprehensive summaries that encompass the research results related to the themes of the special issues, and touch upon the current research or future prospect. Invited papers shall be commentaries or essays on the themes of the special issues, or those which have no other applicable category.

Journal manuscripts shall be limited to materials that are unpublished, or those which were requested by the Chair of Journal Editorial Committee (hereinafter called the Chief Editor). Provided that those which are listed in Article 3 shall be considered to be unpublished.

3. Scope of Published Materials that may be Submitted

  • (1) Materials presented at symposia, scholarly meetings, international conference, etc. as summary papers or documents.
  • (2) Materials published in institutional bulletins in universities, or presented internally at research institutions.
  • (3) Reports on the result of research commissioned by the national government, local governments, public or private sectors.
  • (4) Materials requested by the Chief Editor.

4. Qualifications for Submission

Membership qualification (Individual Member or Student Member) is not required.

5. Manuscripts

  • (1) Technical papers/technical reports/technical notes/discussions may be either in Japanese or in English.
  • (2) The standard number of pages for “Technical Papers” shall be 10, and excess pages are allowed up to 10. Further excess pages are allowed up to 4 in the case of responding to reviewers’ comments. Papers written in English can excess 20 pages if there is an unavoidable reason, however too many excess pages should be avoided.
  • (3) The standard number of pages for “Technical Reports” shall be 20, and excess pages are allowed up to 20. Further excess pages are allowed up to 8 in the case of responding to reviewers’ comments. Reports written in English can excess 40 pages if there is an unavoidable reason, however too many excess pages should be avoided.
  • (4) The maximum allowed number of pages for “Technical Notes” shall be 4, and excess pages are allowed up to 4 in the case of responding to reviewers’ comments.
  • (5) The maximum allowed number of pages for “Discussions” shall be 4, and no excess pages are allowed.
  • (6) The maximum allowed number of pages for “Overviews/Invited Papers” shall be 10, and no excess pages are allowed.
  • (7) The number of pages of manuscripts shall conform to the above rules even if they are revised or added based on the review comments, etc.
  • (8) Refer to the “Writing Guideline” for details on manuscript submission format such as layouts and how to write it.
  • (9) Once a manuscript is accepted, addition or revision of words/sentences shall not be allowed.
  • (10) The Journal does not publish any corrections of errata that are found after the publication and responsible for the authors. However, serious corrections that are related to the understanding of the content may be additionally published after the final decision of Journal Editorial Committee with the additional charge. The publication fee of corrections is the same as regular submissions as described in Article 9.

6. Submission of Manuscripts

  • (1) Manuscripts shall be written in accordance with the Writing Guideline, and shall be submitted by an electronic file in PDF format.
  • (2) When submitting a manuscript, the category of a manuscript shall be indicated clearly, which is selected from “Technical Papers”, “Technical Reports”, “Technical Notes”, “Discussions”, and “Overviews/Submissions.”
  • (3) If a manuscript was sent back with suggestions for content correction and a revised manuscript has not been returned within 6 months after the Association sent it back, the submission shall be considered to have been withdrawn.
  • (4) The manuscript of journal papers shall be sent to the address noted below:

7. Acceptance of Journal Papers

The Chief Editor shall decide whether or not to accept the manuscript for publication based on the peer review criteria, and shall notify the author.

8. Copyright

  • (1) Copyright of written materials that were published in the Journal shall belong to the Association.
  • (2) Authors shall submit the copyright transfer form to the Journal Editorial Committee after the publication was accepted.
  • (3) As a general rule, if the author utilizes the copyrighted material by copying/translating/adopting it entirely or partially, the Association shall not raise an objection or prevent such use.

9. Publication Fee, etc.

A publication fee and excess page publication fee shall be collected as noted below. Provided that the submission is made upon request by the Chief Editor or a manuscript is written in English, both fees shall be waived.

* The first author should be an Individual Member or a Student Member (except Corporation Member).

Supplementary Provisions

  • This rule shall be effective upon approval of authorization of JAEE as a public interest incorporated association by the Prime Minister.
  • The approval date is May 1, 2013.
  • Article 9 was amended on May 9, 2013 by the Board of Directors.
